You will need to take detailed minutes from the hui, including:
A register of the names of all owners, addresses and their contact details and their interests or shareholding in whenua intended to be included in the trust or incorporation.
Different spelling of names: landowners often have more than one name, and not all of those names may have been known when the initial application was submitted.
But, it is my experience that not all owners will participate even with notice. It is not uncommon for a block of 100-200 owners, for meetings to attract less than 10 owners – and that is on a good day.
